A common scenario, is where the collector has a Document Request with 2 applicants (e.g. husband and wife), but their accountant will take care of the docs
How to create the request?
1: For the primary Sender (e.g. husband):
- Select "Do you want to notify the Primary Sender of this request?": NO
- Email can be populated or left empty in this scenario
- Select the template/documents to be collected from primary sender (e.g. husband)
2: For the additional Senders, select "Do you need to Collect documents from anyone else?": YES
Additional Sender 1 (e.g. wife):
- Select "Do you want to notify the Other Sender of this request?": NO
- Email can be populated or left empty in this scenario
- Select the template/documents to be collected from additional sender (e.g. wife)
Additional Sender 2 (e.g. accountant):
- Select "Do you want to notify the Other Sender of this request?": YES
- Email and mobile number must be populated with accountant details
- Don't select any document to be collected
In this way:
- Accountant will be the only one notified of the document request
- Documents will be correctly associated to their owners (e.g. husband and wife)
- Owners will be able to view the documents if they wanted; they just need to register in ezidox, and they would be able to access the document request.
Important Dos and don'ts:
- Do: Maintain data integrity! Keep each sender details correct; rather than inserting incorrect data - when possible - don't add it (e.g. dummy email addresses)
- Don't configure the accountant email address against husband/wife senders!
- Don't select documents to collect associated to the accountant sender; documents shall be selected against the senders owning those documents (e.g. husband and wife)
- Don't add the accountant under "Does anyone else need to see this document request? They will have the same privileges that you have on this application, and will be able to accept/reject documents
